Where is the template for importing journal entries into ASCENDER?
Short answer
The template is linked from the ASCENDER help page for Import JV Transactions - FIN8900, at Finance > Utilities > Import JV Transactions. That page links two things: the Import JV Transactions Template (an Excel file) and the Import JV Transactions File Layout.
The utility imports general journal transactions, either actual or budget entries.
The fields
From the file layout:
| Field | Length | Class codes |
|---|---|---|
| Account Code | 20 | |
| Appropriation Amount | 11 | 6, 8 |
| Expenditure Amount | 11 | 6, 8 |
| Estimated Revenue Amount | 11 | 5, 7 |
| Realized Revenue Amount | 11 | 5, 7 |
| Balance Amount | 11 | 1, 2, 3 |
| Journal Voucher Number | 6 | |
| JV Number Description | 30 | |
| JV Voucher Reason | 30 | |
| General Ledger Account Description | 30 |
Rules the file has to follow
- No commas inside a field. It is a comma-delimited file, so a comma in the JV Number Description or the GL Account Description breaks it.
- Decimals are not implied. 6789 means $6,789, and 67.89 means $67.89.
- Credits start with a minus sign.
- Leave empty amount fields empty. Do not put zeros in them.
- New accounts are validated against Finance > Tables > Account Codes, with the same edits as the Create Chart of Accounts page.
Running the import
On the Import JV Transactions page, pick the Accounting Period (current by default, or next), the Journal Type (Actual or Budget), and the Transaction Date. Then click Browse and pick your file.
- JV Number. A six-character number. If it is not in the file or on the page, the system gives an error. Numeric entries are zero-filled (123 becomes 000123). The same JV number can be used more than once within the same accounting period.
- JV Number Description is required, in the file or on the page.
- Allow to Post Any Overdrawn Account. If you leave this unchecked, overdrawn accounts show on the Error Report and nothing posts. If the rest of the JV is not balanced, nothing posts either way.
If there are errors, ASCENDER shows the Import JV Transactions Error Report. Otherwise click Continue for the preview report, then Process.
