Which ASCENDER report shows vendor name, invoice number, amount and PO number?

Short answer

Use FIN1700 - Accounts Payable Listing, at Finance > Reports > Finance Reports > Journals, Checks, Detail Ledgers > Accounts Payable Listing. It lists vendor name and number, PO/PA number, invoice number and expense amount, along with the account number, accounting period and due date.

ASCENDER describes it as a report on "the deferred checks in the system." The documentation does not list an invoice date column. It lists due date and transaction date.

The detail

Here is everything the documentation says FIN1700 prints:

  • vendor name and number
  • account number
  • record number
  • PO/PA number
  • contents of the print flag
  • accounting period
  • invoice number
  • expense amount
  • due date and transaction date. ASCENDER says it is "the only report in the system that prints both due date and transaction date."
  • totals for vendors, POs/PAs and funds, and a grand total payable balance
Parameter Options What it does
Accounting Period Current (C), Next (N) Required.
Sort by Vendor#/PO/Fund (1), Vendor Name/PO/Fund (2), Fund/Vendor#/PO (3) Required. 2 sorts by vendor name, then PO, then fund.
Print only the deferred checks? Y / N Required.
Include Credit Memos? Y / N Required.
Include ONLY EFT Payment? Y / N Y limits the report to electronic funds transfer payments.
Select Fund(s) Fund numbers with fiscal year, e.g. 161 / 8,199 / 8, or blank for all Narrows the report to specific funds.
From Date / To Date MMDDYYYY, or blank for all Sets the date range.

The heading in the upper left of the report tells you whether it is sorted by due date or by transaction date.

If funds are missing from the report, check your account code masking. Report information is displayed based on the masked account codes set in the User Profiles table for the logged-on user.

If you need checks that have been issued, use the check register. FIN1250 "displays a list of all checks that have been issued," and FIN1800 covers a whole year (see below).
